I have read a lot of cover letters from the hiring side, and the ones that worked all had the same shape: short, aimed at the specific posting, and readable in one pass. Below are six complete examples built on that shape, one per common situation, each with a note on why it works. Steal the structure, never the sentences. A recruiter can smell a template, but a structure is invisible.
- Every example follows the same four moves: role plus proof, answer the posting, one honest company line, simple close.
- Numbers do the persuading. Each example carries two or three real figures. Adjectives carry none.
- The shortest letter here is three sentences and it is often the right choice.
- Copy the structure, write your own sentences. Recruiters read hundreds of letters; borrowed phrasing stands out for the wrong reason.
What every example below has in common
The full reasoning is in how to write a cover letter, but the short version: paragraph one names the role and attaches your strongest relevant result. Paragraph two picks two or three requirements from the posting and answers each with a real example, mirroring the posting's exact words honestly. Paragraph three is one company-specific line that could not be pasted anywhere else. Paragraph four closes in a sentence. Under one page, always.
1. Finance analyst (mid-career, posted role)
Dear Ms. Carter,
I am a financial analyst with six years in FP&A, which is the core of your Senior Financial Analyst opening. At Meridian Foods I own the rolling forecast for a $45M business unit and cut forecast error from 9% to 4% in my first year.
Your posting emphasises variance analysis and business partnering. Both are my daily work: I run the monthly variance reviews for three departments and present the findings to their directors, and my working capital analysis last year identified $1.2M in stock we released to cash. I build all of it in Excel and Power BI, the same stack your posting names.
I have followed Northgate's move into private label manufacturing this year, and it is the kind of margin challenge I enjoy: my current role is exactly that fight, one SKU at a time.
I would welcome the chance to talk about how I can help with the analyst gap on your team. Thank you for your time.
Best regards,
Amina Yusuf
Why it works: four numbers in nine sentences, the posting's own terms (variance analysis, business partnering, Power BI) answered directly, and a company line that proves she reads the news. Nothing about passion. For the resume to pair with it, see the finance resume guide.
2. Software engineer (tech, referral mentioned)
Dear Hiring Team,
Priya Nair on your platform team suggested I apply for the Backend Engineer role. I have spent four years building Python services at scale: my current team runs an order pipeline that handles 30,000 requests a minute at 99.95% uptime.
Two things in your posting match my recent work directly. You are migrating from a monolith: I led the extraction of our billing service into its own deployment last year, cut release time from weekly to daily, and wrote the migration guide the other teams now use. You run on AWS with Kubernetes: that is my stack end to end, including the cost work, where I cut our cluster spend 18% by rightsizing and spot instances.
I have used your API in two side projects, and the developer experience is the reason I want to work on it from the inside.
Happy to talk whenever suits. Thank you for considering.
Best regards,
Daniel Osei
Why it works: the referral goes first because it is the strongest signal in the letter. Exact stack terms match the posting, which also matters for parsing and recruiter search, as covered in do ATS read cover letters.
3. Customer service (high-volume role)
Dear Mr. Alvarez,
I am applying for the Customer Support Specialist role. In three years at HomeWare Direct I handled 55 to 60 contacts a day at a 94% satisfaction score, twelve points above team average.
Your posting asks for de-escalation skills and CRM experience. De-escalation is the part of the job I am known for: my manager routes the hardest refund cases to me, and I closed 90% of them without escalation last quarter. I have worked in Zendesk daily for three years, including building macros the whole team adopted.
I have been a customer of yours twice, and both deliveries came with the handwritten note. A company that does that will care how support talks to people, and that is the kind of team I want.
Thank you for reading. I would be glad to talk.
Best regards,
Fatima Noor
Why it works: contact volume, satisfaction score, and resolution rate are the three numbers every support manager screens for, and they are all in the first two paragraphs.
4. Internship (student, no work history)
Dear Ms. Tan,
I am a third-year finance student at IBA applying for your Summer Analyst internship. For my corporate finance course I built a full DCF valuation of a listed cement company, presented it to a class of 60, and graded top three.
Your posting lists Excel modelling and attention to detail. The valuation above was 14 linked sheets with a working sensitivity table, and I rebuilt it twice until the balance sheet tied without plugs. I also treasure part-time bookkeeping for my family's shop: small numbers, but real ones, reconciled monthly for two years.
I follow your firm's monthly market notes and I have summarised three of them for my investment club, so I know the house view better than most applicants will.
I would be glad to talk about how I can contribute this summer. Thank you for your consideration.
Best regards,
Hassan Raza
Why it works: coursework written like work, an honest small job presented with pride instead of apology, and proof he actually reads what the firm publishes. More on this approach on our internship resume page.
5. Career change (teacher to corporate training)
Dear Hiring Team,
After eight years teaching secondary mathematics, I am moving into corporate learning, and the overlap with your Learning and Development Specialist role is larger than it looks: I have designed and delivered over 1,000 hours of instruction and my exam pass rates beat the district average five years running.
Your posting asks for curriculum design and stakeholder management. I built my school's entire revision programme from scratch, now used by four other schools, and I have run parent sessions for groups of 80, which is stakeholder management under harder conditions than most boardrooms. This year I completed an instructional design certificate and rebuilt two of my courses in Articulate to close the tools gap.
Your company's public commitment to promoting from within is why L&D there matters more than it does at most firms, and that is the environment I want to build in.
I would welcome a conversation about how a classroom-tested trainer can serve your teams. Thank you for your time.
Best regards,
Sarah Mitchell
Why it works: the change is addressed in the first sentence with confidence, every teaching credential is translated into the target field's language, and the new certificate shows the gap is being closed, not ignored. Same translation logic as our career change resume guide.
6. The three sentence email version
Subject: Application for Operations Manager, Ahmed Khan
Dear Mr. Silva,
I am an operations manager with eight years in e-commerce fulfilment, currently running a 4-site network doing 40,000 orders a day at 99.4% on-time, and your Operations Manager posting matches that work almost line for line. The posting's core asks, WMS ownership and 3PL management, are both mine today: I led our Manhattan migration and manage contracts across 11 carriers. My resume is attached, and I would welcome a conversation.
Best regards,
Ahmed Khan

Why it works: when the application asks for a brief note, or you are writing in the email body, this is a complete letter. Three sentences, four numbers, both key requirements answered. Brevity reads as confidence.
Write yours, then check it
All six letters started from the same four-move structure, which we also built into four free Word templates with the guidance written inside each paragraph: download the cover letter templates, no email gate. When your draft is done, run it through the free cover letter checker to catch generic phrases and missing keywords, and make sure the resume it accompanies actually parses with a free ATS scan. The letter opens the door only if the resume survives the software first.
